The Final Walk Through

The final walk through is one of the most crucial steps in the wedding planning process as you close in on wedding day. We typically do this walk through in the 2-4 week mark, leading up to the big day. (Give or take, based on a number of factors).

This final walk through is where we review ALL of the details. The big ones, the small ones - and everything in between. We walk through every song, every linen, every table placement, your guest list, your signage list, and even things like “where are you getting lunch from and who is picking it up”. This process is how we ensure we are on the same page, and how we troubleshoot and problem solve as many potential “issues” as possible in advance of the wedding day. We review final/outstanding payments, we talk about day-of tips (if applicable), and SO many other things. And - we’ve caught a lot of “things” in our 12+ years in the industry - allowing ample time to resolve any lingering issues leaving wedding day stress-free!

What should you review during this final walk through? Here is our quick list of topics (below) - we always recommend having the final walk through in the actual venue/space, if possible.

Review list:

  1. The timeline (every detail)

  2. Hair & makeup schedule / getting ready schedule

  3. Photography / videography schedule

  4. Photo shot list

  5. Music list (for band or DJ)

  6. Song list (for formalities - intros, formal dances, cake cutting, etc.)

  7. Decor list

  8. Guest count / vendor meal count

  9. Seating chart

  10. Floor plan (every table, linen, chair, fork, etc. - quantity, color, shape, size, and placement)

  11. Review all vendor details - who is bringing what, what payments are still owed, etc.

  12. Vendor tips (if applicable)

  13. Breakdown details (where are items going, who is in charge of taking things home, etc.)

  14. Daytime details (breakfast, lunch, and snacks …. and who is in charge!)

  15. Transportation schedule (if applicable)

  16. Any other misc. details that might be applicable to your event

While this may seem like a daunting task, this final review ensures that all details are in check and that everyone is on the same page. This gives you an opportunity in advance to address any shortfalls and gives you plenty of time to correct those potential issues. And it makes for a much smoother wedding day for you as the client, and your vendors.
